Refund & Cancellation Policy

This Refund & Cancellation Policy explains how you can cancel your Kalmira subscription and the circumstances in which refunds may be available. It applies to all plans and forms part of our Terms of Service and Subscription & Billing Policy. Because Kalmira is a subscription-based software service, this Policy is designed to be clear and fair to both you and us.

01How to cancel

You may cancel your subscription at any time. You can do this from the billing settings within your workspace, or by contacting our team using the details at the end of this page. We recommend cancelling from an account with administrator permissions so the change applies to the whole workspace.

  • Cancellation stops future automatic renewals of your subscription.
  • Your cancellation request is effective when we receive it through the Service or by written notice.
  • If you cancel by email, please use the email address associated with your account so we can verify the request.

02When cancellation takes effect

When you cancel, your subscription remains active until the end of the current paid billing period, and you keep access to your plan and data until that period ends. You will not be charged for the following period. We do not automatically delete your data at the moment of cancellation; data handling after cancellation is described below and in our Terms of Service.

03Refunds on recurring subscriptions

Subscription fees are generally billed in advance and are non-refundable, except where required by law or where this Policy expressly provides otherwise. In particular:

  • We do not provide refunds or credits for partial billing periods, unused time, or features you did not use.
  • Cancelling part-way through a paid period does not entitle you to a prorated refund for the remainder of that period, unless required by applicable law.
  • Downgrading a plan does not generate a refund for the difference in price for the current period.

04Refunds we may provide

We want you to be satisfied with the Service. We may, at our discretion or where required by law, provide a refund or credit in circumstances such as:

  • Duplicate or incorrect charges — if you were charged more than once for the same period, or charged in error, we will refund the incorrect amount.
  • Billing errors on our side — if a charge does not match the plan or order you agreed to, we will correct it.
  • Extended service failure — where the Service was materially unavailable for a prolonged period due to our fault and not resolved within a reasonable time, we may offer a credit or partial refund.
  • Statutory rights — where consumer protection or other laws that apply to you require a refund, we will honor those rights.

Requests based on these circumstances should be submitted within thirty days of the charge in question, with enough detail for us to review the issue.

05Free trials and introductory offers

If we offer a free trial or introductory period, you will not be charged for that period. Unless you cancel before the trial ends, your subscription will convert to a paid plan and the applicable fee will be charged. Introductory or promotional pricing applies only for the stated period, after which standard pricing applies.

06Enterprise and custom agreements

Enterprise subscriptions and other custom arrangements may be governed by a separate signed order or agreement that sets out specific cancellation notice periods, minimum terms, and refund conditions. Where such an order exists, its terms control for that subscription and may differ from the standard terms in this Policy.

07How refunds are issued

Approved refunds are issued to the original payment method used for the purchase. The time it takes for a refund to appear depends on your payment provider or bank. If the original payment method is no longer available, we will work with you to arrange an alternative where reasonably possible.

08Chargebacks

If you believe a charge is incorrect, please contact us first so we can resolve it quickly. Initiating a chargeback without contacting us may result in suspension of your account while the dispute is investigated. We reserve the right to dispute chargebacks that we believe are made in error or in bad faith.

09Your data after cancellation

After cancellation, we make your Customer Data available for export for a limited period so you can retain a copy. After that period, we may delete or anonymize the data in accordance with our data retention practices and the Terms of Service. It is your responsibility to export any information you wish to keep before it is removed.

10Changes to this Policy

We may update this Refund & Cancellation Policy from time to time. When we make material changes, we will post the revised Policy on this page and update the "Last updated" date above. Your continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
