Subscription & Billing Policy

This Subscription & Billing Policy explains how subscriptions to the Kalmira platform are purchased, priced, renewed, changed, and cancelled. It applies to all plans, including Starter, Business Growth, and Enterprise, and forms part of our Terms of Service. Capitalized terms not defined here have the meaning given in the Terms of Service.

Kalmira provides cloud-based business management software on a recurring subscription basis. By subscribing to a plan or completing an order, you agree to the pricing, billing, and renewal terms set out below.

01Plans and what they include

The Service is offered across several plans. Each plan defines the features, usage limits, number of team member accounts, and level of support available to you:

  • Starter — for solo operators and small teams, billed monthly per workspace, including core scheduling, invoicing, client records, standard dashboards, and email support.
  • Business Growth — for growing companies, billed monthly per workspace, adding full CRM integration, advanced automated workflows, additional team member accounts, and priority support.
  • Enterprise — for established organizations, scoped per organization with custom setup, dedicated onboarding and migration, custom integrations, and an advanced analytics suite.

The specific plan you select at the point of purchase, together with any order documentation, describes exactly what is included in your subscription. We may add, rename, or adjust plans over time; changes will not reduce the core functionality of an active paid subscription during a period you have already paid for.

02Pricing and currency

Prices are displayed at the point of purchase and are stated in United States dollars (USD) unless otherwise noted. The figures shown for Starter and Business Growth are recurring monthly fees per workspace. The Enterprise figure is a typical starting point; final Enterprise pricing is confirmed in a written order based on the scope of your deployment.

We may change our prices from time to time. For active subscriptions, we will provide reasonable advance notice of any price increase, and the new price will apply from your next renewal after the notice period. Promotional or introductory pricing applies only for the stated period and reverts to standard pricing afterward.

03Billing cycle and renewals

Subscriptions are billed in advance on a recurring basis for the billing period you select, typically monthly. Unless you cancel before the end of the current period, your subscription renews automatically for successive periods of the same length, and the applicable fee is charged to your payment method on file.

  • Your billing date is the date on which your paid subscription began, or the date agreed in your order.
  • Renewal charges are applied automatically at the start of each new period until the subscription is cancelled.
  • We may attempt to renew a subscription for a reasonable period if an initial charge fails, and may notify you to update your payment details.

04Payment methods and authorization

You must provide a valid payment method to purchase a subscription. By providing a payment method, you authorize us, or our third-party payment processors, to charge the applicable subscription fees, taxes, and any other amounts due. You represent that you are authorized to use the payment method you provide.

Payments are processed by reputable third-party payment providers. We do not store full payment card numbers on our own systems; card processing is handled by our payment providers in accordance with applicable security standards.

05Taxes

Fees are exclusive of taxes unless stated otherwise. You are responsible for all applicable sales, use, value-added, goods and services, withholding, and similar taxes, other than taxes based on our net income. Where we are required to collect such taxes, they will be added to your invoice.

06Upgrades, downgrades, and changes

You may change your plan subject to your subscription terms.

Upgrades

Upgrades generally take effect immediately so you can start using the additional features right away. When you upgrade mid-cycle, we may charge a prorated amount for the remainder of the current billing period, and your renewal amount will reflect the new plan.

Downgrades

Downgrades generally take effect at the start of your next billing period. Reducing your plan may result in the loss of access to certain features, capacity, historical data, or additional team member accounts associated with the higher tier. It is your responsibility to export any data you wish to keep before a downgrade takes effect.

07Adding team members and usage

Some plans include a set number of team member accounts and usage limits. If your usage exceeds the limits of your plan, you may be prompted to upgrade or to add capacity, which may increase your recurring fee. Any additional charges will be described before they are applied.

08Invoices and receipts

Receipts and invoices are made available for each billing period through the Service or by email to your account administrator. It is your responsibility to keep your billing contact and payment details accurate and up to date so that invoices and renewal notices reach you.

09Failed payments and suspension

If a payment fails or is reversed, we may retry the charge and notify you to resolve the issue. If payment remains outstanding after a reasonable period, we may suspend or restrict access to the Service until the balance is settled. Suspension does not relieve you of the obligation to pay amounts due. Extended non-payment may result in termination in accordance with the Terms of Service.

10Cancellation

You may cancel your subscription at any time through the Service or by contacting us. Cancellation stops future renewals; it takes effect at the end of the current paid billing period, and you retain access to your plan until that period ends. Details of cancellation timing and any eligibility for a refund are described in our Refund & Cancellation Policy.

11Refunds

Except where required by law or expressly stated in our Refund & Cancellation Policy, subscription fees are non-refundable, and we do not provide refunds or credits for partial billing periods, unused time, or features not used. Please review our Refund & Cancellation Policy for the specific circumstances in which refunds may be available.

12Enterprise and custom orders

Enterprise subscriptions and other custom arrangements may be governed by a separate written order or agreement that sets out specific pricing, billing frequency, payment terms, and renewal conditions. Where there is a conflict between such an order and this Policy, the terms of the signed order will control for that subscription.

13Changes to this Policy

We may update this Subscription & Billing Policy from time to time. When we make material changes, we will post the revised Policy on this page and update the "Last updated" date above. Your continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
